Technician contracts, remuneration, and signature
Technician contracts, remuneration, and signature
What this feature is for
The Staff → HR & administrative → Tracking & pay sub-tab (formerly the standalone Contracts tab) allows you to prepare a contract based on a person and one of your company templates, control remuneration, produce a paginated PDF, have it signed, and access the history by technician.
Where to find it
Open Preparation → Contracts. Management and authorized managers see the generator and all contracts. A technician finds their own contracts in My contracts.
Steps
- In the Contract Generator, choose the technician and then the template.
- Verify the pre-filled fields: name, position, mission dates, and duration.
- Choose the remuneration basis: hourly, daily, or flat rate.
- Enter the rate, hours or units, tax rate, and currency. Schedule hours are suggested when available.
- Check the displayed calculation: gross pay, taxes, and employer cost.
- Click on PDF Preview and scroll through all pages. Long contracts are automatically distributed across several A4 pages.
- Generate the contract. The PDF is stored in Team and HR / Contracts.
- Send the signature link to the person concerned.
- After signature, download the signed PDF from the contract or the technician's history.
Meal allowance: tick "Meal allowance instead of catering" on the contract of a person who is not fed. They are then never added automatically to meals: they are removed from the Breakfast, Lunch and Dinner totals during their contract dates.
What happens next
The signature records the date, the technical context, and the document's fingerprint. The signed PDF is frozen and kept within the project documents. When payroll data is entered, the signature can create or update budget lines for gross salary and taxes, without duplicates for the same contract.
Who can take action
Management or the authorized HR function prepares, sends, and validates contracts. The signatory only accesses the contract linked to their invitation. Sensitive personal information remains separate from public profile information.
Common issues
- The PDF appears empty: wait for the loading to finish, then change pages using the preview arrows.
- Variables remain visible: complete the missing company or technician information before generating.
- Amounts are zero: check the chosen basis, the rate, and the number of hours or units.
- Unable to sign: the link may be expired, already used, or may not match the expected contract.
FAQ
Can I modify a provided contract template?
Yes. Your company templates are editable, and you can import your own templates. Always preview the result before use.
Is the signature just a simple image?
No. The handwritten signature is integrated into the PDF with a certificate including, notably, the date and the document's fingerprint.
Can I modify a PDF after it has been signed?
No. The signed PDF constitutes the frozen version. Produce an amendment or a new contract if a correction is necessary.
