Schedules: soundcheck, tracks and cue sheet
Schedules: soundcheck, tracks and cue sheet
What this feature is for
The Timing tab organizes minute-by-minute content in three views: Preparation (load-in, doors, load-out), Soundcheck (preparation for each artist or speaker) and Showtime (one block per event, grouping its rundown and cue sheet).
Where to find it
Preparation → Timing, after selecting the relevant day and stage, then the Preparation, Soundcheck or Showtime view.
Steps
-
In Soundcheck, fill in for each artist: time, duration, phases, teams and notes.
-
Create the programme's appearances directly in Showtime with Add an appearance: name the artist or speaker (address, ceremony, speech…), pick its type, and its Technical sheet and GED folder are created in the same gesture. You can also use Technical → By artist: both screens share a single source, with no duplicate entry or conflicting times. The Manage artists in Technical button takes you there directly. A new appearance is chained after the last timed appearance of the day, and its first track takes that planned time; with no existing time, nothing is invented.
-
In Showtime, scan the day's programme: each event and its performance times remain visible. Open Rundown and cue sheet beneath an event to view or edit its tracks and cues; other events stay collapsed for a clear overview. Edit / delete in Technical, on the relevant appearance, opens its existing sheet directly. Technical's locks and actions are unchanged; clicking this button never deletes anything. Back to Showtime restores the selected day and venue. The Start, End and Duration fields in an appearance's header are linked: entering a duration recalculates the end, entering an end recalculates the duration (minimum one minute). An entered time becomes an anchor. The handle on the left of an appearance moves it within the day: times are recalculated from the first affected slot, including manually entered times, using each appearance's duration and a five-minute changeover — durations and the manual GO stay unchanged; Ctrl+Z undoes the move. A track or cue's trash icon concerns that rundown item, not the artist/speaker sheet.
-
Add the event rundown (tracks or sequences): title, estimated duration. A new track takes the planned end time of the previous track, or the appearance's time for the first one.
-
Then add the cue sheet (cues): name, scheduled time, note for the team. A cue requires at least one track in the rundown. The list is compact: click a row to open its details, then its arrow to collapse them. The Teams menu combines the Main team choice and Also involved checkboxes (e.g. Light, Sound and Video). Selected names remain visible; the small trash icon deletes the cue after confirmation. The Team view selector (top, next to exports) shows only one team’s cues — main or additional — so each team sees its own schedule; the PDF/Excel export follows this view. To reorder, grab the handle on the left of a cue and drag it to its new slot: it takes the time of the cue it replaces and numbering is recalculated (up/down arrows on keyboard; disabled in a filtered Team view). Ctrl+Z (Cmd+Z on Mac) undoes the last move: the cue gets back its slot, time and number; Ctrl+Shift+Z redoes it.
Example: while preparing Saturday, Léa accidentally drags the “House blackout” cue from 21:30 to 21:45. She presses Ctrl+Z: the cue returns to 21:30 with its original number, and the other cues get their times back. In the live console, the same Team view selector (WHO column header of “Running order”) shows only the chosen team’s cues; moving is disabled while filtered. The Full screen button (expand icon in the “Running order” header) shows the window on the whole screen; press Esc to exit. The cue sheet’s Full screen button does the same; press Esc to exit. GO stays manual.
-
Tracks and cues not linked to any event remain visible in the Unassigned section; you can link them to an event. Nothing is deleted.
-
Export the day to Excel or PDF if needed.
Artist times, rundown items and cues are saved automatically after a short pause in typing and when leaving a field. Saving… followed by Saved automatically confirms the save; no Save button is needed in Showtime.
What happens next
The rundown and cue sheet directly feed the live console and shared screens. Soundcheck schedules feed the team planning and Hospitality (meals, movements).
Who can take action
The production management and individuals with project management rights. Others can only view.
Common issues
- The "+ Cue" button is greyed out: add a track to the event rundown first.
- A track does not appear under its event: it is in Unassigned; link it to the event.
- An event does not appear in Showtime: check it is scheduled for the selected day, or create it on the spot with Add an appearance. Speakers (non-artists) show in Technical with the Speaker badge.
- Durations do not add up correctly: They are indicative; the show never advances automatically.
- Automatic save failed: keep the page open, check the connection, then edit the field again; the status message confirms the next successful save.
- I need a team (e.g. Power): in the phase window, enter its name under Categories, then click Add (or use the schedule's Categories panel). It joins your organization's library and automatically appears in all your other events. Remove only hides it from the current event.
- I need a phase (e.g. Power connection): in the Phase list, choose + New phase…, enter its name, then click Add. It will then be available in all your organization's events under Your organization's phases.
FAQ
Why do the following times change when I move an appearance?
That is the planned chaining: appearances shift from the original time of the first affected slot (duration plus a five-minute changeover), including manually entered times. Earlier appearances, durations and actual GO events stay unchanged; Ctrl+Z undoes.
Should everything be entered before the big day?
No, but the more the cue sheet is prepared, the more useful the live console is. You can complete it until the very last moment.
Playlist and cue sheet, what is the difference?
The playlist describes what the artist performs. The cue sheet describes the technical and organizational actions around them.
