Full journey: from account to show rundown
Full journey: from account to show rundown
What this feature is for
This guide walks through the complete journey: creating your account, joining or creating an event, adding a phase to the schedule, then preparing the show rundown.
Where to find it
Everything starts on the Sign in page, then the dashboard. The next steps take place inside the event: Preparation → Scheduling for phases, then Preparation → Program → Showtime for the running order and rundown.
Steps
- Create an account: on Sign in, choose Create an account, enter your email address and set your own password. Confirm your email address if a message asks you to.
- Join an event: if you received an invitation, follow its link and accept it; the event then appears under My shows. Otherwise, create your own event from the dashboard: you land directly in Preparation, on the Administrative tab.
- Add a phase: in Preparation → Scheduling, open New phase. Pick an existing phase or create your own with + New phase…, tick the relevant categories (or add one with + New category…), set the time slot and confirm. Custom phases and categories can be reused across your other events.
- Prepare the rundown: first create artists in Preparation → Technical, the single source for the line-up. They automatically appear in Timing → Showtime, where Manage artists in Technical takes you straight back to that source. Then build the event's running order by adding cues (each cue is linked to a track). The rundown details each track's sequence. Items not linked to an event stay grouped in the Unlinked section. Each cue has a Main team (its colour); if other teams act at the same moment, open the Teams menu and tick their names under Also involved (e.g. Light + Sound + Video for a jingle launch). The console then shows every team involved. GO always stays manual.
- On show day: from the event, join the live console to follow the rundown in real time. The GO always stays manual, triggered by the authorized person.
What happens next
Every step is saved as you go: your event, its schedule and its running order remain available to the whole team according to assigned roles. You can return to any step at any time before the show.
Who can take action
Everyone acts with their own account. Event creation is open to any account; managing phases, the program and the rundown depends on the role assigned in the event (production management, stage management, invited technician, etc.).
Common issues
- The event does not appear after accepting the invitation: reload the dashboard; if the manager still sees you as "pending", ask them to reload their page.
- My custom phase or category does not appear in another event: it is stored in your organization's library; check that you are working in the same organization.
- I cannot edit the schedule or the rundown: your role in the event does not allow it; ask the manager to adjust your permissions.
FAQ
Can I prepare several events with the same account?
Yes. One account can create or join several events, with a different role in each.
Are custom phases lost when the event ends?
No. They enrich your organization's library and remain available for future events.
