My base: your organization's living environment
My base: your organization's living environment
What this feature is for
My base is your organization's reusable environment: the shared reservoir every new event starts from, and the one every event feeds back into. It works both ways:
- From My base to the event: when you create a show, you start from your own environment — departments and job functions catalog, access roles, equipment, venues, planning categories, contract templates, live settings (MIDI/OSC). No setup to redo.
- From the event to My base: what you adjust during production — a default access for a job function, a role created for the occasion, new equipment, a supplier — can be saved to My base in one click, for your next events.
Show after show, My base becomes the digital twin of your ecosystem: setting up each new event gets faster, and the settings reflect the way you work, not a generic configuration. No content from a past show is ever copied: operational data (schedule, artists, budget) stays specific to each event; only your reusable environment is capitalized.
Where to find it
From the dashboard, the My base tile gathers your organization's settings. In the app: My base → Departments & job functions, Roles & permissions, Equipment & venues, and so on. Editing is reserved for the organization's director; members can view.
Steps
- Set up your foundation: departments, job functions, access roles, equipment catalog, venues, planning categories and contract templates. This foundation is offered at every event creation.
- Link job functions to access: in Preparation → Staff → Departments & job functions, the key-shaped icon of a function sets its default access role; anyone assigned to that job function receives it automatically.
- Capitalize from the field: in an event's Staff table, after adjusting someone's access, choose Save to My base: that job function will carry this default access on your next events.
- Create your own roles: in My base → Roles & permissions, name a role, optionally file it under a department and tick its permissions; it is immediately available in the Access field of all your shows.
What happens next
Every event enriches My base: the more you produce, the faster the next event is set up and the closer it matches your habits. The settings of your next show find their answer in your base, without re-entry.
Who can take action
- Organization director: edits My base (roles, departments and functions, catalog, venues, settings) and decides what gets saved.
- Members: view My base and work with it in their events.
Common issues
- My base did not change after my event: capitalization is always deliberate — the Save to My base button (or linking a default access to a job function) writes to your base; editing a show alone never does.
- A setting is missing in a new show: check it was saved in My base; everything it holds is available in all your shows, existing or future.
- I cannot edit a role: system roles are read-only; create a custom role to cover that need.
FAQ
Does a new event inherit the previous event's content?
No. A new show starts from your base (settings, catalogs, roles) but is empty of any content: no schedule, artist or budget from a past event is copied, and there is no show template.
Can I save to My base from an ongoing event?
Yes: useful customizations (default access for a job function, roles, equipment) are saved in one click from the event, without leaving your production.
