Staff logistics

What this feature is for

Logistics covers all Staff, across every department: technical, production, security, hospitality and administration. In Hospitality → Staff, Staff logistics gathers individual catering, transport and accommodation needs. The Logistics tab keeps event transport, vehicles and other logistics needs coordinated around venue constraints and the show schedule.

Where to find it

Open your event, then Preparation → Hospitality → Staff for individual needs, or Preparation → Logistics for logistics coordination. If the event has several venues, choose the relevant venue with the selector. Artists keep their separate Hospitality → Artists section.

In Hospitality, the preview and PDF export share the title Staff hotel and travel planning. The word Staff does not expand your access rights or change existing assignments.

Steps

1. Make sure the venue is filled in under Preparation → Venues: logistics relies on its details (address, access, site opening hours).
2. Fill in the setup and teardown slots, consistently with the show times defined in Preparation → Timing.
3. Add transport and equipment needs: each line can be attached to the relevant venue.
4. Complete it as preparation progresses: information is saved as you go and visible to the whole authorized team.
5. On show day, the crew finds this information in the same tab, including on mobile.

What happens next

Logistics information stays linked to the event and the venue: it feeds crew coordination and can be consulted during setup, the show and teardown. It triggers no automatic action on the show run.

Who can take action

Team members with editing rights on the event preparation can fill in and modify logistics. Other members view it read-only according to the rights they were given.

Common issues

• The tab is empty: check that a venue is selected at the top of the tab, and that the venue exists under Preparation → Venues.
• I cannot edit a line: your role on the event does not grant editing rights; ask the show director to adjust them.
• Times do not match the show: logistics is not computed automatically; align the slots manually with the show schedule.

FAQ

Is logistics shared across all venues of the event?

No: each venue has its own logistics information. Switch venues with the selector at the top of the tab.

Does logistics affect the show run?

No: it is coordination information. The show run stays manually driven from the live console.
