Getting started and navigating an event

What this feature is for

An event brings together administrative information, the schedule, the team, contracts, technical specifications, Hospitality, documents, and the budget in one place. This guide helps you know where to start and avoid entering the same information multiple times.

Where to find it

From the project list, open the relevant event. The Preparation bar displays the available tabs. On a phone, swipe this bar horizontally to see tabs that do not fit on the screen.

Steps

  1. Open Administrative and verify the name, dates, organization, venues, and stages.
  2. Open Timing → Preparation: the Load-in, Show, and Load-out framework is proposed based on the event dates.
  3. Add people in Staff, then assign their function, sector, and access rights.
  4. Import riders and other files into Documents before completing Technical and Hospitality.
  5. Verify expenses in Budget. Some lines can be created from a signed contract or a technical equipment transfer.
  6. Before the operation, use Go to production to join the live console.

What happens next

Shared information remains linked to the same event. Authorized changes are visible to the relevant collaborators. Documented automations create preparation elements; they never trigger the show.

Who can take action

The visible screens and available actions depend on the assigned access rights. The production management normally handles preparation. A collaborator can view or modify only the parts permitted by their role.

Common issues

  • A tab is missing: your subscription or your access rights may not include it.
  • A person cannot see the event: check that they have been added as a collaborator.
  • Information seems to belong to the wrong venue: check the venue or stage filter before entering data.

FAQ

Does a cue duration automatically trigger the next one?

No. A cue is a marker with an indicative duration. The GO always remains manual and must be given by an authorized person.

Where can I find a more precise explanation?

Open the Help button within the application, ask a complete question, or choose Full user manual.
