Creating an event (new show)
Creating an event (new show)
What this feature is for
Creating an event (also called a "show") opens the workspace in which you will prepare everything else: schedule, team, contracts, technical details, Hospitality, documents, and budget. The name, show date, and the site access and departure dates and times are mandatory. Everything else can be completed or corrected later, without losing anything.
Where to find it
- Log in, then open your dashboard (home page after login).
- In the My shows area, click the Create button.
- The New show window opens.
The dashboard now groups your priorities, shows, account, and professional activity. If you are a platform administrator, the Platform console card remains separate and does not grant any additional access to client show content.
In My account, the phone field includes an international calling-code menu. Select the country, then enter the national number: the profile automatically keeps the number with its calling code.
Steps
- Show name (mandatory): enter the name of the event, for example "Nostalgia 2026".
- Identity (optional): choose the type of operation (concert, festival, corporate event, TV, tour…).
- Venue (optional): type of location (venue, outdoor site, festival grounds…), venue name, address, GPS coordinates, and expected capacity. The capacity is used for logistical sizing.
- Dates (mandatory): enter the show date and the site access and departure dates and times. If the operation lasts several days, check Multi-day operation then indicate the end date.
- Contact (optional): organizer, name, email, and phone number of the contact.
- Click Create the show.
To bring other people in, invite them by email from Preparation → Staff, choosing their role.
What happens next
- The new event appears in My shows; click on it to open it.
- You arrive at the Preparation bar: everything you did not fill in can be completed in the Administrative tab (name, dates, organization, venues, stages).
- The Timing tab offers a Load-in / Show / Load-out framework based on the dates entered. You can then follow the guide "Getting started and navigating an event".
- If you are offline at the time of creation: the show is saved as a local draft and created automatically as soon as the connection returns, without duplicates. An "Offline" banner informs you, and you can track the synchronization of pending drafts.
Who can take action
Anyone logged in can create an event; they become the person in charge of it. Collaborators invited later only see the parts permitted by their role.
Common issues
- The Create button does not appear: check that you are logged in and on the dashboard.
- Required dates message: enter the show date and a complete date and time for both site access and site departure.
- Message about dates: site access must precede site departure, and the end date must follow the show date.
- GPS coordinates rejected: use decimal degrees, for example 48.8566 and 2.3522 (latitude between -90 and 90, longitude between -180 and 180).
- Created without network: this is normal, the draft will be sent automatically upon reconnection; do not press Create multiple times.
FAQ
Can we modify the name, dates, or venue after creation?
Yes. Everything can be modified in Preparation › Administrative, without losing anything entered since then.
Does creating an event trigger anything automatic on the show side?
No. Creation only prepares the workspace and the schedule framework. The GO always remains manual, given by an authorized person.
